Archiving

You can archive files, folders, workspaces, and contacts. Archived records are hidden from the list by default, and archived files cannot be accessed by client contacts. Once archived, records can be reinstated or permanently deleted.

Archiving Files and Folders
There are three ways to archive files, and two ways to archive folders.
- Click the icon next to the file or folder and click Archive File or Archive Folder.
- Select the check box next to the file(s) or folder(s) you want to archive and then click Archive at the top.
…or… - Open the file and click Archive at the top.
When archiving a folder that has files in it, you must confirm the action, as certain browsers may limit the number of files that can be archived at one time.
Automatic Archive
Files can be set to be automatically archived after a set number of days.
- Click Firm Settings.
- Click Advanced Settings.
- Scroll to the bottom of the window and click Edit.
- Scroll back up to the Files section.
- In the Archive Files Automatically after (Days) field, enter the number of days from the date of upload you want files to be archived.
Reinstating and Deleting Files and Folders in the Archive
There are two ways you can reinstate or delete files and folders in the archive. First, you must open the Archive by clicking the icon at the top next to New File and selecting View Archive.
You can then reinstate or delete any archived files and folders.
- Click the
icon next to the file or folder and click Delete File or Reinstate File.
…or… - Select the check box next to the desired file(s) or folder(s) and then click Reinstate or Delete at the top.
When deleting a file or folder, you must confirm the action.
When deleting a folder, all files included in the folder will also be deleted.
Workspaces
Archiving Workspaces
There are two ways to archive workspaces.
- Click the
icon next to the workspace and click Archive Client.
…or… - Select the check box next to the workspace(s) you want to archive and then click Archived Clients at the top.
Reinstating and Deleting Workspaces
There are two ways you can reinstate or delete workspaces in the archive. First, you must open the Archive by clicking the icon at the top next to
and selecting View Archive.
You can then reinstate or delete any archived clients.
- Click the
icon next to the client and click Delete Client or Reinstate Client.
…or… - Select the check box next to the desired client(s) and then click Reinstate Clients or Delete Clients at the top.
When deleting a client, you must confirm the action.
Contacts
Archiving Contacts
There are two ways to archive contacts. First, you must be on the Contacts tab of the client Workspace.
- Click the
icon next to the contact and click Archive Contact.
…or… - Select the check box next to the contact(s) you want to archive and then click Archived Contacts at the top.
Reinstating and Deleting Contacts
There are two ways you can reinstate or delete contacts in the archive. First, you must open the Archive by clicking the icon at the top next to Add Contacts and selecting View Archive.
You can then reinstate or delete any archived contacts.
- Click the
icon next to the contact and click Remove from Client or Reinstate Contact.
…or… - Select the check box next to the desired client(s) and then click Reinstate Contacts or Remove from Client at the top.
When deleting a contact, you must confirm the action.
