Budgeting for Client Engagements

Budgets can be created for client engagements from the Budgets Budgets tab in the Clients window or the Engagement List. Email notifications can be sent out when specified percentages of set budgets are reached.

Firm-Wide Budget Settings

Firm-wide Budget Settings can optionally be used. Budget Settings can be found in General Settings on the Other Other tab.

If Enable Automatic Rollover to Next Year is selected, the budget will be applied at the beginning of each year.

Select Increase by fixed percentage and enter a Revenue Amount and/or a Time Amount if you want to increase the budget by a percentage each year.

Select Create from Existing Budget to use the same budget as the prior year.

Select Create based on Actual Amounts to budget using the actual amounts from the prior year.

Client Budgets Tab

Budgets can be added, edited, and deleted from the Budgets Budgets tab of the Clients window.

Once a budget has been added, you have the option of filtering by Year and Engagement.

The YTD – Revenue shows the Budget amount, WIP Value, Billed/Unbilled Value, Billed Amount, WU/WD (Write Up/Write Down), Total Cost, and Profit.

The YTD – Time shows the Budget amount, WIP Hrs., Total Billed Hrs., and Total YTD Hrs.

The YTD – Total Billed/Unbilled Time shows billed and unbilled time for the year in a graph format.

To Add a Budget

  1. Click + Add Budget to open the Add Budget window.
  2. In the Add Budget window, select the Year and Engagement, and then enter a Revenue Budget.
  3. If a budget already exists and you want to change the budget information for the same client engagement and year, select Override if the Budget for Engagement and Year Already Exists check box.
  4. Select the Use Firm Defaults check box if you want to use the Budget Settings from General Settings on the Other Otherwise, select the options you want to use for this budget.
  5. Click ✓ Create to save the budget.

To Edit a Budget

When editing a budget, you can set up email notifications and change Rollover Options by clicking the Settings button.

  1. Select the Year and Engagement, and then click the Settings Settings button to open the Manage window.
  2. In the Revenue Email Notifications – Budget and/or Time Email Notifications – Budget field, enter the percentage of the budget to be reached before an email is sent and press Enter. Multiple percentages can be entered. For example, if you want an email notification to be sent when the budget reaches 75%, 100%, and 125%, enter “75”, press Enter, enter “100”, press Enter, enter “125”, and press Enter. To remove a percentage, click the X next to the percentage you want to remove.
  3. Optionally edit the Rollover Options.
  4. In the Select user(s) to be notified if Budget alert is exceeded fields, select the users to notify.
  5. Click ✓ Save.

To Delete a Budget

  1. Select the Year and Engagement.
  2. Click the Delete Delete Budget button.

Engagements List

Budgets for engagements can be added and edited from the Engagement List, but cannot be deleted from the Engagement List. You must go to the Budgets tab of the Clients window to delete a budget.

To Add a Budget

  1. Select one or more engagements and click + Assign Budget to open the Assign Budget window.
  2. In the Assign Budget window, select the Year and enter a Revenue Budget.
  3. Select the Use Firm Defaults check box if you want to use the Budget Settings from General Settings on the Other Other tab. Otherwise, select the options you want to use for this budget.
  4. Click ✓ Assign to save the budget. Once saved, this budget will be available on the Budgets Budgets tab of the Clients window.

To Edit a Budget

  1. Select one or more engagements and click + Assign Budget to open the Assign Budget window.
  2. In the Assign Budget window, select the Year and enter a Revenue Budget.
  3. Select Override if the Budget for Engagement and Year Already Exists check box.
  4. Select the Use Firm Defaults check box if you want to use the Budget Settings from General Settings on the Other Other tab. Otherwise, select the options you want to use for this budget.
  5. Click ✓ Assign to save the budget.
