Engagement Types and Utilities

Engagements are the type of service that your firm offers and how your time and expenses are categorized.

Engagement examples for a CPA firm could be as follows:

  • Accounting
  • Payroll
  • Tax
  • Audit
  • Consulting
Engagement examples for a Law Firm could be as follows:

  • Litigation
  • Consulting
  • Contracts
  • Domestic Cases

Engagement Types

Engagement Types are the services or engagements you provide to your clients, and are set up at the company level. From the Engagement Types window you can add or edit Engagement Types.

Accessing Engagement Types

You can access Engagement Types from General Settings.

  1. Click General Settings (General Settings) on the main toolbar.
  2. Click the Lists Lists tab
  3. Select Engagement Types.

Using Engagement Types List

The Global Search field can be used to locate records containing specific text. Once specified, an indicator will be displayed showing how many records contain that text. To clear the search, click the red X icon to the right of the field.

Select the Show Inactive check box to show only inactive Engagement Types. Clear this check box to see only active Engagement Types.

Click + Add to add a new Engagement Type.

You can click on the header of the Engagement Type Description column to sort the records shown by the values in that column. Click the header again to reverse the sort.

The Actions column provides options to perform an action on a specific entry.

  • Click the Edit (Edit) icon to open the Edit Engagement Types window, allowing access to any field in the record.
  • Click the Delete (Delete) icon to delete the current record. You will be prompted to confirm the action. Engagement types currently used for engagements cannot be deleted.

Click the check box in the Inactive column to toggle the engagement type as active or inactive.

Add/Edit Engagement Types

Click + Add or the Edit (Edit) icon to open the Engagement Types window. The following fields are available.

  • Description – Specify the engagement type.
  • Invoice Description – Optionally enter a description that will be used on Narrative style invoices by default. When modifying the description, you can type @ (ampersand) to choose a Shortcut to add to the memo. Information about Shortcuts can be found in the Shortcut Codes This field can also include Wildcards for the month and year. For additional information, see the Wildcards topic.
  • Inactive – Select this check box to mark this engagement type as inactive, which will hide it in the list. Clear this check box to mark the engagement type as active.

Once the engagement type has been entered, you have two options to save.

  • ✓ Save & Close saves the engagement type and closes the window.
  • ✓ Save & New saves the engagement type and clears all fields so that you can enter a brand new engagement type.

Batch Assigning Engagements to Clients

You can assign an engagement to multiple clients at one time via the Client Engagements Utility.

  1. In the main toolbar, click Settings (Settings).
  2. Click General Settings General Settings.
  3. Click the Utilities Utilities tab.
  4. In the Utility Options field, select Client Engagements.
  5. Select the Engagement Type on the left and the Client Names on the right.
  6. Click ✓ Save.

Common Questions About Engagements

The following are some frequently asked questions about Engagements in Mango.

Is there a way to delete an engagement we assigned to multiple clients that we chose not to use?
Yes, you can delete engagements from clients using the Delete Active/Inactive Engagements Utility. However, you can only delete an engagement if it does not have unbilled time or invoice history. For additional information, see the Utilities article.
What does the Assigned To field indicate?
This simply indicates that they are assigned to work on the engagement. This can be used to help identify staff workflow and capacity. This has no effect on your data.
If we make an engagement type inactive, will this also make existing client engagements inactive?
No, changing an engagement type to inactive simply precents new engagements from being created; it will not affect existing engagements.
