You can use the Scheduling feature to track all of your staff’s calendar appointments, with the ability to filter by user. You can view calendar entries for the day, week, work week, month, or in an agenda view.
Scheduling Settings
Before using the Scheduling feature, you may want to review your settings. Settings for the Scheduling window can be found in My Profile on the Schedule Preferences and Calendar Integration tabs.
On the Schedule Preferences tab, you can set your First day of Work Week, Default View, Default Time Interval, Auto Refresh Calendar, My Appointment Color, Visible Work Times on Calendar, and Days to Display for Work Week View.
On the Calendar Integration tab, you can select to integrate with your Outlook Calendar, or your Google Calendar.

Accessing Scheduling
You can access the Engagement Letters from the main toolbar or menu.
- Click the (Appointments) icon on the main toolbar.
…or… - Click Scheduling on the menu.
Using the Scheduling Window
At the top of the window, buttons are available to Refresh the page at any time; Print the events scheduled for the current view; Show Full Day, meaning midnight to midnight; or toggle the Filter View on or off.
When opening Scheduling, it opens the Default View set up in Schedule Preferences. You can change your view in the Scheduling window to Day, Week, Work Week, Month, or Agenda. Click Today to come back to today. This is helpful when you are looking at past or future dates and you want to come back to the current day.
Note: To get to Today, you can also right-click in the calendar and select Today.
You can change dates via the back and forward buttons, or by clicking on the date. If you click on the date, a mini calendar will be displayed, allowing you to select a day, month, and year. Once in the mini calendar, click the month to be able to quickly select a different month, and then click the year to quickly select a different year.
When Filter View is toggled on, you can Search by all event fields, select which staff you want to see, and Group by Date and Staff. For staff to appear here, the Calendar Resource option must be set in User Information. For additional information, see the User/Team Members article.
Adding New Calendar Events
There are three ways to add a calendar event:
- Click once in the calendar to add a quick event with just a title.
- Double-click in the calendar to open the New Event window and enter all applicable event information.
- Right-click in the calendar and select New Event or New Recurring Event to open the New Event window and enter all applicable event information.
Note: Calendar events can be dragged to a different time slot. Calendar event time can also be increased or decreased by hovering over the edge of the event, clicking when the cursor changes to (Resize), and dragging it up or down.
Editing Calendar Events
There are three ways to edit a calendar event:
- Double-click the event.
- Click once on the event and then click the (Edit) icon.
- Right-click the event and then select Edit Event.
New/Edit Event Window
In the New Event window, you can optionally select a Client, Title to display in the calendar, and Location. When selecting a Client, the event will be displayed on the Schedule tab of the Client window. You must select a Start and End time.
You can optionally mark it for All day and select a different Timezone. You can select to Repeat the entry Daily, Weekly, Monthly, or Yearly.
Select one or more staff on whose calendar you want the event to be displayed. When you schedule calendar events for other users, an email can be sent to them. To turn this feature on, open General Settings > Notifications and select the Send email when a calendar event is made by another Mango Billing User check box.
Optionally select a Schedule Reminder. When selected, a popup will display in the upper-right hand corner at the reminder time, letting you know you have an upcoming event. When integrating with Outlook or Google calendar, the alarm will also integrate.
Optionally Select Office/Mobile number of the client and enter a Description.
Deleting Calendar Events
There are three ways to delete a calendar event:
- Double-click the event and then click Delete.
- Click the event once and then click the (Delete) icon.
- Right-click the event and then click Delete Event.
