Time Entry

The pop-up time entry window is available in the Quick Links anywhere in Mango, making it easy to track time. It is also used to add and make edits to time tracking records from any of the other windows.

Accessing Time Entry

There are five main ways to create time: Quick Links, Time Sheet Entry, Time Card Entry, Batch Time Entry, and Timers. Time can be edited via the Time Sheet Entry, the Client’s Time & Expense tab, or when creating a Manual Invoice.

Adding via Quick Links

  1. Click Quick Links Quick Links.
  2. Click Time Entry.

Adding via Time Sheet Entry

  1. Click Time & Expense Time & Expense.
  2. Click Time Sheet Entry Time Sheet Entry.
  3. Click + Time.

Editing via Time Sheet Entry

  1. Click Time & Expense Time & Expense.
  2. Click Time Sheet Entry Time Sheet Entry.
  3. Click Edit (Edit) on the desired time entry row.

Adding via Time Card Entry

  1. Click Time & Expense Time & Expense.
  2. Click Time Card Entry Time Card Entry.
  3. Click + Add Row.
  4. Specify the Client Name, Engagement, Activity, and Billable fields.
  5. Click Update All.

Note: Time added via the Time Card does not display the Time Entry window. To access the Time Entry for editing, use the Time Sheet Entry window.

Creating via Batch Time Entry

  1. Click Time & Expense Time & Expense.
  2. Click Batch Time Entry Batch Time Entry.
  3. Click + (Add New Line).
  4. Specify the Client Name, Engagement, Activity, and Billable fields.
  5. Click ✓ Save All.

Note: Time added via Batch Time Entry does not display the Time Entry window. To access the Time Entry for editing, use the Time Sheet Entry window.

Creating via Timers

  1. Click Timer Timer.
  2. Click + Add Timer.
  3. Specify the Client Name, Engagement, Activity, and Work Description fields. You can type & (ampersand) to choose a Shortcut to add to the work description. Information about Shortcuts can be found in the Shortcut Codes article.
  4. Click ✓ Save.
  5. Click Timer Timer and then click Save All Save All.

Note: Time added via Timers does not display the Time Entry window. To access the Time Entry for editing, use the Time Sheet Entry window.

Adding or Editing a Time Entry

  1. Open Time Entry via Quick Links or Time Sheet Entry.
  2. The User and Work Date fields will automatically be filled in with the currently logged in user and today’s date.
  3. Select the Client. Additional information about clients can be found in the Overview of Clients and Engagements topic.
  4. If Require Work Location Tracking is selected in Time & Expense Settings, select where the time was performed in Work Location. If this option is not selected, the Work Location field will not be shown. Additional information about the Require Work Location Tracking option can be found in the Overview of General Settings topic.
  5. Select the Engagement and Activity. You can add a new engagement or activity by clicking Add (Add) above the field. Additional information about engagements can be found in the Overview of Clients and Engagements topic, and additional information about activities can be found in the Activity Settings topic.
  6. Enter the number of hours for the entry in Actual Time. Alternatively, enter the Start Time and End Time to automatically calculate the Actual Time. The Billable Time will automatically be calculated based on the Actual Time and the Time Increment for Time Entry rounding configured in Time & Expenses Settings. If Billable Time – Allow Override is selected in Time & Expense Settings, set the Override Time check box to allow changes to the Billable Time.   7. The Billable check box is automatically selected. Clear this check box if the time is non-billable.
  8. Approved is automatically selected if Auto Approve Time Slips is selected in Time & Expenses Settings, otherwise this check box is cleared. Additional information about the Auto Approve Expenses option can be found in the Overview of General Settings topic.
  9. If Hide Billing Rate & Billable Amounts is not selected in Time & Expense Settings, optionally change the Billable Rate and Amount for the time entry. If this option is selected, the Billable Rate and Amount fields will not be shown. If Billing Rate – Allow Override is selected in Time & Expense Settings, set the Override Rate check box to allow changes to the Billable Rate.   10. If a budget is set for the client engagement, select the Budget Year that the amount contributes to. For additional information, see the Budgeting for Client Engagements topic.
  11. Optionally specify the Work Description performed for this time. You can type @ (ampersand) to choose a Shortcut to add to the memo. Information about Shortcuts can be found in the Shortcut Codes article. This field can also include Wildcards for the month and year. For additional information, see the Wildcards topic.
  12. Optionally add a Private Memo. Text in this field will not be included on an invoice.

Once the time has been entered, you have three options to save.

  • ✓ Save & Close saves the time and closes the window. When editing existing time, this button is replaced by ✓ Update.
  • ✓ Save & New saves the time and clears all fields so that you can enter a brand new time record.
  • ✓ Save & Duplicate saves the time and does not clear the fields so that you can enter a similar time record without reselecting/retyping information.

Common Questions About Time Entry

Is there a way to prioritize Activity codes, so they show up in order?
The Activity field uses a search filter, so entering a value will find all instances of that value. For example, if you enter “9” in the search field, it will locate “9”, “195”, “259”, and “Five9s”. One option to allow easier searching for specific values is to prepend zeroes and then search for that string, so the activity would be “009” instead of just “9”. This allows you to search for “009” and find the specific activity you are looking for.
How can I change an employee’s billing rate for unbilled time?
Anywhere you view time records, you can use the batch options to update the billing rate.

  1. Select one or more time entries.
  2. Click Batch Options.
  3. Select Update Billing Rate.
  4. Enter the new Billing Rate and click ✓ Update.
